Booking Terms

Effective Date: 13th August 2026


These Booking Terms apply to all safari, tour, accommodation, transportation, wildlife, cultural, adventure and other travel arrangements booked through Giravex Safaris.

They explain how bookings are made, confirmed, paid for and managed. These Booking Terms should be read together with the Giravex Safaris Terms and Conditions, Cancellation and Refund Policy and Privacy Policy.

By requesting, confirming or paying for a booking with Giravex Safaris, the Client confirms acceptance of these terms.


1. MAKING AN ENQUIRY

1.1 Clients may contact Giravex Safaris through the Company's official website, email, telephone, messaging platforms, travel agents or other authorised communication channels.

1.2 An enquiry does not constitute a confirmed booking.

1.3 Information provided during the enquiry stage, including suggested itineraries, accommodation options, activities and estimated prices, may be subject to availability and change until the booking is confirmed.

1.4 Giravex Safaris may request additional information from the Client before preparing or confirming a safari.


2. QUOTATIONS

2.1 Following an enquiry, Giravex Safaris may provide the Client with a written quotation or proposed itinerary.

2.2 Quotations shall normally specify:

  • Travel dates
  • Number of travellers
  • Proposed itinerary
  • Accommodation
  • Transportation
  • Activities
  • Meals where applicable
  • Services included
  • Services excluded
  • Safari price
  • Payment requirements
  • Applicable booking conditions

2.3 Unless otherwise stated, quotations are subject to availability and are not a guarantee that the quoted services will remain available.

2.4 A quotation may have an expiry date. After the expiry date, Giravex Safaris reserves the right to revise the quotation based on current availability and supplier pricing.

2.5 Prices may change before confirmation due to changes in supplier rates, exchange rates, taxes, park fees, permits, accommodation availability or other applicable charges.


3. ACCEPTANCE OF A QUOTATION

3.1 A Client may accept a quotation by providing written confirmation to Giravex Safaris and making the required deposit or payment.

3.2 Acceptance of a quotation does not guarantee the booking until Giravex Safaris has confirmed the relevant services in writing.

3.3 Where the Client requests changes to the quotation before confirmation, Giravex Safaris may issue a revised quotation.

3.4 The Client should carefully review the quotation before making payment and immediately notify Giravex Safaris of any errors or omissions.


4. BOOKING CONFIRMATION

4.1 A booking becomes confirmed once:

  • The required deposit or payment has been received; and
  • Giravex Safaris has issued written confirmation of the booking.

4.2 A booking confirmation may include:

  • Confirmed itinerary
  • Accommodation details
  • Transportation arrangements
  • Activity details
  • Permit information
  • Payment schedule
  • Balance due date
  • Special arrangements
  • Important travel information

4.3 Clients should carefully review the booking confirmation and notify Giravex Safaris immediately of any inaccuracies.

4.4 Once confirmed, the booking becomes subject to the Company's Terms and Conditions and Cancellation and Refund Policy.


5. DEPOSIT REQUIREMENTS

5.1 Unless otherwise agreed in writing, a 30% deposit of the total safari cost is required to secure a booking.

5.2 Some services may require full payment at the time of booking.

These may include:

  • Gorilla permits
  • Chimpanzee permits
  • Other wildlife permits
  • Domestic flights
  • International flights
  • Non refundable accommodation
  • Special events
  • Certain activities
  • Other services with strict supplier payment conditions

5.3 The Client shall be informed where a particular service requires full or non refundable payment.

5.4 A booking is not considered secured until the required payment has been received and confirmed by Giravex Safaris.


6. BALANCE PAYMENT

6.1 Unless otherwise agreed, the remaining balance must be paid at least 30 days before the safari commencement date.

6.2 Bookings made within 30 days of departure must normally be paid in full at the time of confirmation.

6.3 Where the balance is not received by the agreed deadline, Giravex Safaris may cancel the booking and apply the relevant cancellation charges.

6.4 The Company shall not be responsible for loss of availability, increased supplier costs or other losses resulting from late payment.


7. PAYMENT METHODS

7.1 Giravex Safaris accepts payments through the payment methods communicated to the Client.

7.2 These may include:

  • Bank transfer
  • Approved online payment methods
  • Payment gateways
  • Other payment methods authorised by Giravex Safaris

7.3 All payment instructions should be obtained from official Giravex Safaris communication channels.

7.4 Clients should verify bank account details with Giravex Safaris before making substantial transfers, particularly where payment instructions have changed.

7.5 Bank transfer charges, intermediary bank charges and applicable payment processing fees shall normally be borne by the Client.


8. CURRENCY AND PRICES

8.1 Safari quotations are generally issued in United States Dollars (USD) unless otherwise stated.

8.2 Where payment is made in Ugandan Shillings or another currency, the exchange rate applicable at the time of payment shall be communicated by Giravex Safaris.

8.3 Currency fluctuations may result in differences between the quoted price and the final amount payable where payment is made in a currency other than the quotation currency.

8.4 Government taxes, park fees, permits, accommodation rates, transportation costs and other supplier charges may change after a quotation has been issued.

8.5 Where such changes occur before or after confirmation, Giravex Safaris shall communicate any material additional charges to the Client as soon as reasonably possible.


9. TRAVELLER INFORMATION

9.1 Clients must provide accurate information required to arrange their safari.

This may include:

  • Full names as shown on passports
  • Dates of birth
  • Nationality
  • Passport details
  • Passport expiry dates
  • Visa information
  • Travel dates
  • Accommodation preferences
  • Dietary requirements
  • Emergency contact details
  • Other information required by suppliers or authorities

9.2 Incorrect information may result in additional charges, delays, cancellation or inability to provide certain services.

9.3 Giravex Safaris shall not be responsible for costs arising from inaccurate or incomplete information supplied by the Client.


10. PASSPORTS, VISAS AND ENTRY REQUIREMENTS

10.1 Clients are responsible for ensuring that they possess valid passports and all required travel documentation.

10.2 Clients are responsible for obtaining applicable visas, permits, vaccinations, certificates and other entry requirements.

10.3 Giravex Safaris may provide general travel information but does not guarantee visa approval or entry into any country.

10.4 Clients should verify current requirements with the relevant embassy, immigration authority or other competent government authority before travelling.

10.5 Giravex Safaris shall not be liable for costs arising from refused visas, denied entry, expired passports, incomplete documentation or failure to meet immigration requirements.


11. TRAVEL INSURANCE

11.1 Giravex Safaris strongly recommends that all Clients obtain comprehensive travel insurance before departure.

11.2 Insurance should ideally cover:

  • Medical treatment
  • Emergency evacuation
  • Safari cancellation
  • Trip interruption
  • Travel delays
  • Missed connections
  • Lost baggage
  • Personal belongings
  • Personal liability
  • Adventure and trekking activities where applicable

11.3 Clients are responsible for ensuring that their insurance policy provides adequate coverage for the activities included in their itinerary.


12. SPECIAL REQUESTS

12.1 Clients should communicate special requests at the time of booking.

12.2 Special requests may include:

  • Dietary requirements
  • Allergies
  • Room preferences
  • Honeymoon arrangements
  • Birthday or anniversary arrangements
  • Accessibility requirements
  • Child requirements
  • Special activities

12.3 Giravex Safaris shall make reasonable efforts to accommodate special requests.

12.4 Special requests are not guaranteed unless expressly confirmed in writing.

12.5 Additional charges may apply to certain special arrangements.


13. ACCOMMODATION

13.1 Accommodation shall be provided according to the category and property stated in the confirmed itinerary.

13.2 Specific room numbers, room views, bed configurations, adjoining rooms and other individual room requests are subject to availability.

13.3 Where the selected accommodation becomes unavailable, Giravex Safaris may arrange alternative accommodation of a comparable or higher standard.

13.4 Any significant accommodation change shall be communicated to the Client as soon as reasonably possible.


14. TRANSPORTATION

14.1 Transportation shall be arranged according to the confirmed itinerary.

14.2 Vehicle type may depend on the number of travellers, destination, road conditions and activity requirements.

14.3 Travel times provided in itineraries are estimates and may change because of:

  • Traffic
  • Road conditions
  • Weather
  • Border procedures
  • Wildlife activity
  • Road closures
  • Mechanical issues
  • Other operational circumstances

14.4 Clients are responsible for being ready at the agreed departure time.


15. ACTIVITIES, PERMITS AND WILDLIFE EXPERIENCES

15.1 Certain activities require advance reservations or permits.

15.2 Once purchased, permits may be subject to non refundable conditions imposed by the relevant authority.

15.3 Gorilla and chimpanzee trekking permits are subject to the rules and regulations of the relevant wildlife authority.

15.4 Wildlife sightings cannot be guaranteed.

15.5 Activity schedules may be changed by wildlife authorities, park management, weather conditions, safety considerations or other operational circumstances.


16. CHILDREN AND MINORS

16.1 Children travelling with Giravex Safaris must be accompanied by a parent, legal guardian or responsible adult unless otherwise agreed.

16.2 Child rates depend on the accommodation, activity and itinerary.

16.3 Applicable child rates shall be stated in the quotation or booking confirmation.

16.4 Certain activities may have minimum age requirements.

16.5 Parents or guardians are responsible for ensuring that children comply with safety instructions.


17. GROUP BOOKINGS

17.1 Group bookings may be subject to different payment, cancellation and amendment conditions.

17.2 The person making a group booking confirms that they have authority to make arrangements on behalf of the group.

17.3 Changes in group size may affect the cost of transportation, accommodation, guides, activities and other services.

17.4 Giravex Safaris reserves the right to revise the price where a reduction or increase in group size materially changes the cost of operating the itinerary.


18. AMENDMENTS AFTER CONFIRMATION

18.1 Clients may request amendments to a confirmed booking by contacting Giravex Safaris in writing.

18.2 Amendments are subject to availability and supplier terms.

18.3 Additional costs may apply where changes affect:

  • Accommodation
  • Transportation
  • Permits
  • Flights
  • Activities
  • Number of travellers
  • Travel dates
  • Safari duration
  • Other confirmed services

18.4 A change that significantly reduces the value of a booking may be treated as a partial cancellation and may therefore be subject to cancellation charges.

18.5 Amendments are not confirmed until Giravex Safaris provides written confirmation.


19. CANCELLATION

19.1 Cancellation requests must be submitted in writing.

19.2 Cancellation charges shall be applied in accordance with the Giravex Safaris Cancellation and Refund Policy.

19.3 Clients should review the Cancellation and Refund Policy before confirming their booking.

19.4 Non refundable supplier costs may be deducted from any refund due.


20. SAFARI ITINERARIES

20.1 Itineraries are prepared based on information available at the time of booking.

20.2 Giravex Safaris reserves the right to make reasonable operational adjustments where necessary.

20.3 Such adjustments may be required because of:

  • Weather
  • Road conditions
  • Wildlife movements
  • Park regulations
  • Accommodation availability
  • Flight schedules
  • Security considerations
  • Supplier changes
  • Conservation requirements
  • Other operational circumstances

20.4 Where reasonably possible, Giravex Safaris shall provide an alternative arrangement of comparable value and standard.


21. CLIENT RESPONSIBILITIES

Clients agree to:

  • Provide accurate information
  • Make payments by the required deadlines
  • Obtain necessary travel documents
  • Obtain appropriate travel insurance
  • Follow reasonable safety instructions
  • Respect local communities and cultures
  • Respect wildlife and conservation rules
  • Respect accommodation and supplier policies
  • Behave responsibly towards guides, drivers, staff and other travellers


22. COMMUNICATION

22.1 Giravex Safaris may communicate with Clients through email, telephone, WhatsApp or other communication channels provided by the Client.

22.2 Clients are responsible for ensuring that the contact details provided to the Company are accurate and accessible.

22.3 Important booking information may be communicated through the contact details provided at the time of booking.

22.4 Clients should notify Giravex Safaris promptly if their contact details change.


23. TRAVEL DOCUMENTS AND FINAL INFORMATION

23.1 Before departure, Giravex Safaris may provide the Client with final travel information, which may include:

  • Confirmed itinerary
  • Accommodation details
  • Driver or guide information
  • Pick up instructions
  • Permit information
  • Emergency contact information
  • Payment information
  • Other relevant travel instructions

23.2 Clients are responsible for reviewing final travel information before departure.


24. THIRD PARTY SUPPLIERS

24.1 Giravex Safaris may use independent suppliers to deliver certain services.

These may include:

  • Hotels
  • Lodges
  • Airlines
  • Vehicle operators
  • Tour guides
  • Wildlife authorities
  • Activity providers
  • Restaurants
  • Payment providers
  • Other travel service providers

24.2 Third party suppliers may have their own terms, safety requirements and cancellation policies.

24.3 Clients agree to comply with the reasonable rules and requirements of such suppliers.


25. PRIVACY AND PERSONAL INFORMATION

25.1 Personal information provided during the booking process shall be handled in accordance with the Giravex Safaris Privacy Policy and applicable data protection laws.

25.2 Information may be shared with relevant suppliers where reasonably necessary to provide the services booked by the Client.

25.3 Giravex Safaris shall take reasonable measures to protect Client information from unauthorised access, disclosure or misuse.


26. PAYMENT DEFAULT

26.1 If a Client fails to make a required payment by the agreed deadline, Giravex Safaris may suspend further arrangements until payment is received.

26.2 Where payment remains outstanding, the Company may cancel the booking in accordance with the applicable cancellation conditions.

26.3 The Client shall be responsible for any reasonable additional costs arising from delayed payment.


27. BOOKING ACCEPTANCE

27.1 By paying a deposit, making full payment or otherwise confirming a booking, the Client confirms that they:

  • Have read these Booking Terms
  • Understand the payment requirements
  • Understand the cancellation conditions
  • Have reviewed the itinerary
  • Accept the applicable Terms and Conditions
  • Agree to the Giravex Safaris Cancellation and Refund Policy
  • Agree to the Giravex Safaris Privacy Policy

27.2 The person making the booking confirms that they have authority to accept these terms on behalf of all travellers included in the booking.


28. GOVERNING LAW

28.1 These Booking Terms shall be governed by and interpreted in accordance with the laws of the Republic of Uganda, unless otherwise agreed in writing.

28.2 Giravex Safaris and the Client shall first endeavour to resolve any dispute amicably through good faith communication.

28.3 Where a dispute cannot be resolved amicably, it may be referred to the competent courts of Uganda, subject to applicable law.

By confirming a booking with Giravex Safaris, the Client acknowledges that they have read, understood and accepted these Booking Terms, the Giravex Safaris Terms and Conditions, the Cancellation and Refund Policy and the Privacy Policy.
